  • Messages you connect through WhatsApp in Vmoox are stored in your workspace on our platform. They are not protected by WhatsApp end-to-end encryption once inside Vmoox.
  • Do not add personal, private, medical, financial, or other sensitive non-business information to Vmoox.
  • Vmoox does not guarantee protection against data leaks, unauthorized access, or Meta/WhatsApp account limits. You are responsible for permissions and what your team stores.
  • The connection uses an unofficial Web-style client, not Meta's official WhatsApp Business Cloud API. Meta may limit, suspend, or ban numbers used this way.

How WhatsApp inbound lead automation works in Vmoox

When someone new messages your connected WhatsApp line, you should not rely on memory to create a CRM record. Vmoox can auto-create a lead in your chosen CRM app with contact details, source marked as WhatsApp, and a default status. Configure this from the WhatsApp app automation panel (or open the same panel from the Automations catalog via the WhatsApp → create lead recipe). De-duplication prevents duplicate rows when the same person messages again. This is workspace automation — not Meta marketing template messaging.

Before you begin

Vmoox works best when your team agrees on one shared process before changing settings. Confirm the workspace owner, map the apps you need, and define who has access to each app. For most small businesses and agencies, a quick setup meeting saves hours of cleanup later. Decide your naming rules, ownership model, and response expectations, then document them inside the workspace using Comments and Files so new teammates can onboard faster.

  • Connect at least one WhatsApp line and confirm send/receive works in the inbox.
  • Install a Leads or CRM app with fields for name, phone, status, and source.
  • Decide which CRM app receives auto-created leads if you have several record apps.
  • Choose a default assignee or process for new leads so they get a first response.
  • Read the WhatsApp Data Policy — stored messages are business CRM data, not E2E encrypted in Vmoox.

Step-by-step setup

Use these practical steps in order. If you skip ahead, your team may lose context and duplicate work.

  1. Open the WhatsApp app and open the lead automation panel from the automation entry point.
  2. Turn on the automation master toggle.
  3. Select the target CRM app where new leads should be created.
  4. Map WhatsApp contact fields to your lead fields (name, phone, source, status).
  5. Enable de-duplication on phone number so repeat messages do not create duplicate leads.
  6. Save the configuration and send a test message from a number that is not already in your CRM.
  7. Verify a new lead appeared with correct fields and the chat is linkable from the inbox.
  8. Optionally open Automations → catalog → WhatsApp → create lead to edit the same rule later.

Automation runs on each inbound message from a new contact according to your settings. Daily, check new auto-created leads and respond from the WhatsApp inbox. Weekly, confirm the line is still connected and de-duplication behaves correctly. When you add another WhatsApp connection, confirm it is included in the automation scope.
