Use Moox with WhatsApp conversations
Link WhatsApp chats to lead records, then let Moox read thread context to summarize, suggest follow-ups, and support your CRM workflow.
Important — read before connecting WhatsApp
Vmoox embeds a WhatsApp Web-style experience inside your CRM so your team can manage customer conversations and link them to lead records. This is a business management tool — not a secure personal messaging app like WhatsApp on your phone.
- Messages you connect through WhatsApp in Vmoox are stored in your workspace on our platform. They are not protected by WhatsApp end-to-end encryption once inside Vmoox.
- Do not add personal, private, medical, financial, or other sensitive non-business information to Vmoox.
- Vmoox does not guarantee protection against data leaks, unauthorized access, or Meta/WhatsApp account limits. You are responsible for permissions and what your team stores.
- The connection uses an unofficial Web-style client, not Meta's official WhatsApp Business Cloud API. Meta may limit, suspend, or ban numbers used this way.
By connecting WhatsApp you accept these limits. See our WhatsApp Data Policy on vmoox.com for full details.
How Moox with linked WhatsApp threads works in Vmoox
Moox does not replace the WhatsApp inbox — it works on lead records where you have linked customer chats. When a thread is attached to a lead, Moox can read stored message history on that record to summarize the conversation, highlight stalled deals, or draft follow-up ideas according to your prompts and permissions. This only applies to business conversations you choose to store in Vmoox; Moox cannot access chats you never linked.
Before you begin
Vmoox works best when your team agrees on one shared process before changing settings. Confirm the workspace owner, map the apps you need, and define who has access to each app. For most small businesses and agencies, a quick setup meeting saves hours of cleanup later. Decide your naming rules, ownership model, and response expectations, then document them inside the workspace using Comments and Files so new teammates can onboard faster.
- Connect WhatsApp and link at least one real customer chat to a lead record.
- Confirm workspace members understand Moox reads linked message history on records.
- Use business conversations only — no personal or sensitive private content.
- Decide which roles may run Moox on customer records.
- Keep lead fields (stage, owner, next step) updated so Moox suggestions stay relevant.
Step-by-step setup
Use these practical steps in order. If you skip ahead, your team may lose context and duplicate work.
- In the WhatsApp inbox, open a customer thread and link it to the correct lead record.
- Open that lead in the Leads or CRM app from the thread or sidebar.
- Ask Moox to summarize the WhatsApp conversation or identify what the customer still needs.
- Use Moox output as a draft — review before sending replies or updating the pipeline.
- Create tasks or update lead stage based on the agreed next step.
- Return to the WhatsApp inbox to send the follow-up message to the customer.
- Repeat linking for every active deal so Moox always has the latest thread context.
Daily operating rhythm
Before pipeline reviews, ask Moox on key leads with linked WhatsApp history what changed since last week. After long threads, generate a short internal summary on the record for handoffs. Do not run Moox on unlinked chats — link first, then analyze.
Real-world implementation example
A typical agency setup uses Leads to qualify incoming inquiries, then converts qualified opportunities into Projects with linked Tasks and Files. Customer communication continues through WhatsApp and workspace messages, while checklist steps ensure delivery consistency. When teams update records in real time, managers can coach faster, spot risks earlier, and keep client communication aligned with the latest delivery status.
Team governance and ownership
Set one owner for process quality, one admin for app configuration, and clear team-level responsibilities for updates. Review permissions monthly, especially when roles change. A short weekly review of data quality, overdue work, and automation behavior is enough to keep systems healthy as you scale.
Cross-app alignment checklist
Check that Leads hand over correctly to Projects, that Tasks reflect real commitments, and that communication history stays attached to records. If you use Payments, HRM, Timo, or custom apps, define how each app contributes to daily decisions.
- Confirm every active record has an owner, current status, and next action.
- Check that critical conversations and files are attached to relevant records.
- Verify automations still match current field names, stages, and team responsibilities.
Best practices that scale
- Link chats promptly so Moox context matches what the customer said.
- Treat Moox summaries as drafts requiring human review before external sends.
- Combine Moox with assignee discipline in the inbox so someone owns the reply.
- Document decisions on the lead record, not only in Moox chat.
- Respect customer privacy — store only business-appropriate content.
- Revoke Moox or record access for roles that should not see customer messages.
Common mistakes to avoid
- Asking Moox about a deal whose WhatsApp thread was never linked to the lead.
- Pasting Moox drafts to customers without checking accuracy or tone.
- Storing personal medical, financial, or family messages in linked threads.
- Assuming Moox sends WhatsApp messages automatically without your action in the inbox.
- Confusing Moox with Meta template or broadcast tools — Vmoox has neither in the WhatsApp app.
Reporting and optimization
Track which linked leads use Moox summaries before follow-ups and whether response times improve. Pair Moox with inbound lead automation so new WhatsApp contacts always land on a record Moox can read. Review permissions quarterly as team roles change.
30-day action plan
- Week 1: Link all active WhatsApp deals to leads; test one Moox summary per owner.
- Week 2: Add Moox to weekly pipeline review for WhatsApp-heavy leads.
- Week 3: Standardize handoff summaries on records when assignee changes.
- Week 4: Audit linked-thread coverage and trim access for non-customer roles.
